Seven tools, and none of them do the same job
It’s 8pm and someone from the client’s side has asked what the second-floor riser looked like before the shaft was closed. You know you photographed it. You are now scrolling a camera roll of 4,000 images looking for a grey wall among other grey walls.
Every tool below solves some version of that, but genuinely different versions — and most comparison lists pretend otherwise. This one is organised by the job each is built for, including where we’re the wrong answer.
What good construction photo documentation actually requires
Before the list, the four things that decide whether a photo is still useful a year later:
- A location. Not the project — the point. “Second floor” is not a location; a spot on a drawing is.
- A date and an author you can defend. Automatic, not typed in.
- The reason it was taken. The conversation around a photo is the part that gets lost first.
- A way out. If the record only lives inside one app, it is not a record. It has to leave as a document.
Procore — the enterprise platform
Procore’s Photos tool captures, stores and shares project photos in a central archive, with markups, comments, and photo-to-drawing linking so images connect to a location. It doesn’t charge by the gigabyte, and it has added AI summaries across selected photos.
Built for: large projects already standardised on Procore, where photos are one module inside contract, financial and quality management. Consider something else if: you are a subcontractor or a small practice buying a tool for photographs alone.
CompanyCam — the photo stream done properly
Photo and video capture with unlimited storage, annotations on photos — drawings, arrows, measurements, voice notes — plus AI that drafts reports, checklists and captions. Galleries, timelines and a project feed keep it organised.
Built for: trade contractors — roofing, exteriors, service work — who need every job photographed, archived forever, and shown to a homeowner. For high volume and permanent storage, it is very hard to beat. Consider something else if: your unit of work is a drawing rather than a job address.
OpenSpace — automatic coverage
You walk the floor with a 360° camera and it captures roughly two images a second, aligning them to the floor plan into something like a street-view of the site. Field Notes add issues with photos, markups, attachments and due dates, and AI Autolocation suggests your position. A 360° camera is optional; the phone works too.
Built for: covering an entire floor without deciding in advance what matters. If the argument you expect is “that wasn’t there in March”, automatic coverage wins outright. Consider something else if: you need judgement, not coverage — a person deciding what deserves to be recorded.
Fieldwire — photos attached to tasks on the plan
Tap a location on a drawing to create a task, assign it to a person or trade, set a priority, add a due date, and attach photos, videos and markups. The task shows as a colour-coded pin on the sheet.
Built for: crews running scheduled work off drawings, where the photograph is evidence attached to a job that someone owns. Consider something else if: most of what you capture isn’t a task — plenty of site documentation is simply a record, with nothing to assign.
Raken — photos that feed the daily report
Photos and videos with markup and descriptions, automatic time and date stamps, watermarks that can carry project and GPS details, keyword tagging, and photos flowing automatically into the daily report.
Built for: teams whose core obligation is the daily report. If your day ends with a signed report to the office, Raken is shaped around exactly that. Consider something else if: your problem is locating a defect rather than summarising a day.
SafetyCulture — photos inside the checklist
Photo capture and annotation inside inspections built on customisable checklists, with reports generated on completion. Photo capture and annotation are available on the free tier.
Built for: repeatable inspection regimes — safety walks, commissioning, quality checks — where the checklist is the structure and photos are evidence for its lines. Consider something else if: your findings don’t fit a checklist and need to sit on a drawing instead.
PinMy — construction photo documentation anchored to a point
Ours, so read it with that in mind. You drop a pin on the exact point — a PDF plan, a site photo, a frame of a walkthrough video, a map or a 3D IFC model — and the photo, a voice note, text and an area rectangle hang off it. @mention someone to assign a comment and it lands on the Kanban board; resolve dims the pin. How to choose a construction photo documentation app
Answer one question honestly: what will you need to prove, and to whom?
If you’ll need to show a whole floor at a date — automatic coverage. If you’ll need every job photographed forever for a homeowner — a photo stream with unlimited storage. If you’ll need a signed daily record — a daily-report tool. If you’ll need to show that a specific defect at a specific point was raised, owned and closed — a located pin.
Most sites need two of these, not one. That’s a normal outcome, not a failure of the shortlist.
What PinMy is NOT
No automatic location — you place the pin, and nothing guesses your position or walks a floor pinning frames for you. No progress metrics. Storage is bounded, so it isn’t an unlimited archive of every job you’ve run. Voice notes are machine-transcribed, so review safety-critical wording. A report covers one file. Draw mode annotates a view; it does not edit the drawing file. On a 3D model a pin is anchored to a point in 3D space — not to a model element: PinMy does not read element properties, version models or interpret model data. FAQ
What is the best app for construction photo documentation? There isn’t one, and any list claiming otherwise is selling something. Choose by what you must prove: coverage of an area at a date, a permanent client-facing archive, a signed daily record, an inspection regime, or a located defect that someone owns.
Do I need a 360° camera? Only if you’re buying automatic coverage. Every other tool here works from the phone in your pocket, and OpenSpace supports smartphone capture too.
Can photos be located on a drawing without a full platform? Yes. Fieldwire and PinMy both put photos at a point on the plan, and Procore links photos to drawings by location. The difference is what else you’re required to adopt to get there.
