Why the folder fails
Every site has thousands of photos and no answers.
The photos exist. They are in the camera roll, in three WhatsApp groups, in a shared drive folder called Site Photos 2026. What nobody can do is answer a question six months later: what did this wall look like before the render went on, and who said it was fine?

A filename and a date carry nothing. The reason the photo was taken, the decision that followed, and who agreed to it are the parts you actually need, and they live in conversation.

How it works

- Step 1
Upload the surface it belongs to
A floor plan PDF, a site photo, a map, an IFC model — or on Premium, a walkthrough video. The file is what gives every later photo a place to sit.
- Step 2
Pin the photo where you took it
Drop the pin on the exact point, attach the photo from the in-app camera or your roll, and speak a voice note if your hands are cold. On Premium, OCR reads serial plates and printed labels straight off the image.
- Step 3
Let the record argue with itself
Anyone with access replies on the pin — including on voice notes and on other replies. Assign a comment to a person and it becomes a task on the Kanban board. The disagreement stays attached to the evidence instead of scattering into chat.

Export what happened
The Item Report puts every pin and every comment on that file into one PDF, opening with a preview of the source carrying numbered pin markers. No assignment or board setup needed first, and generation runs in your browser.
Stream versus record
Most photo apps organise by project. This one organises by place.
A photo stream sorted by date, tag and job answers one question well: what did we shoot? It is the wrong shape for the question that actually gets asked at handover, in a dispute, or on a warranty claim — what is the state of this point, and how did it get that way? A pin answers that because the evidence, the conversation and the location are the same object. You are not searching a folder; you are opening a place.
- The photo, the voice note, the follow-up photo and the decision all hang off one pin.
- A pin is Open or Resolved, so the file shows what is still live without anyone compiling a list.
- Because the pin sits on the file, a person who joins in month nine opens it and sees the same context you had on day one.
Honest limits
What works, and exactly where it stops.
This category contains tools that do things PinMy deliberately does not. Knowing which job you are buying for matters more here than in most software, so these are the edges up front.
- You place the pin. There is no automatic location, no AI position guessing, and no 360° reality capture that walks a floor and pins frames for you. If you want coverage of an entire floor without deciding what matters, a reality-capture tool is the right purchase, not this one.
- There are no progress metrics and no AI progress analytics. PinMy records what someone chose to document; it does not measure how much of the building is finished.
- Storage is bounded and worth checking before you commit: Free gives 12 MB, 62 MB once onboarding is done, and 6 MB per file. Premium gives 3 GB with files up to 300 MB. This is not an unlimited photo archive for every job you have ever run.
- A report covers one file. There are no folder-level or multi-project reports, and media inside comments is linked rather than embedded.
- PDF reports carry a β badge and their published limits. They are useful today and still maturing.
- On a 3D model a pin anchors to a point in space. PinMy does not read element properties or version models.
- PinMy is not a CDE and does not replace Revit, BIM 360 or your contract administration tools. It is the capture layer.

Questions people actually ask.
What is site photo documentation?
It is the practice of photographing site conditions as a dated, attributable record — so that what was there, when, and who saw it can be established later. It matters most at three moments: handover, a defect dispute, and a warranty claim. The photographs are the easy part; keeping them findable and attached to a location is what separates a record from a folder.
How is this different from a shared photo album or a photo stream app?
A stream organises photos by project, date and tag, and answers what did we shoot. PinMy organises them by place: each photo sits on a pin at a point on a plan, photo, video frame, map or 3D model, and the comments about it live on that same pin. If your need is a searchable archive of everything, a stream tool fits better. If your need is the state of a specific point and the argument about it, the pin fits better.
Are photos located automatically?
No. You place the pin yourself, on the point you mean. PinMy does not guess your position and does not do 360° walk capture that auto-pins frames along a path. That is a real difference from reality-capture tools, and it is deliberate: the pin marks what a person decided was worth marking.
Can I pin a photo onto a video?
Yes, on Premium. You pin a comment to a specific frame of a walkthrough video, and that pin carries its own photos, voice notes and replies like any other. Free users can view and comment on videos a Premium teammate shares, but cannot upload their own.
Can it read text off the photo?
On Premium, yes — OCR reads serial plates, printed labels and printed plans directly from the image, which saves typing model numbers off a boiler in a dark plant room.
What formats and how much storage do I get?
Free covers JPEG, PNG, BMP, WEBP, GIF, PDF and IFC, with 6 files, 12 MB of storage (62 MB once onboarding is complete) and 6 MB per file. Premium adds MP4 and MOV, 3 GB of storage and files up to 300 MB.
Can a client or subcontractor see the photos without installing anything?
Yes. Guest mode opens a shared file in any browser, on phone or desktop, with no app and no account. Guests see the pins, photos, voice notes and comments, and can leave their own after entering a name.
Is there a free plan?
Yes, with no card. It includes 6 files, unlimited pins, comments and replies, unlimited files shared with you, 30-second voice comments and PDF To-Do reports in beta. Premium is €8.99 per month excluding VAT, or yearly with 2 months free.
