Coordination Cost Calculator — estimate the ROI of better site coordination

Estimate how much money poor coordination and rework cost your project — and the savings from digitising site processes. Free, no sign-up, all assumptions are yours to edit.

Fill in the inputs and click "Calculate savings" to see the breakdown.

How to use the coordination cost calculator

  1. Step 1

Enter your team and cost parameters

Fill in team size, weekly coordination hours, loaded hourly rate, and project duration in weeks.

  2. Step 2

    Add project context (optional)

Optionally enter the total project value and an estimated percentage of avoidable rework — industry studies suggest 5–12%.

  3. Step 3

    Set your expected reduction

Use the slider to set what percentage reduction you expect from digitising coordination. Start with 15% — a conservative estimate.

  4. Step 4

    Read the breakdown

See the step-by-step calculation: base coordination cost, coordination savings, avoidable rework, rework savings, and the total.

How the calculation works

The calculator estimates savings from two sources: reduced coordination time and fewer reworks. Both start with your inputs — no hidden multipliers, no black-box assumptions.

Coordination savings: your team's weekly coordination hours × hourly rate × project weeks, reduced by the percentage you set. This is the time saved from fewer status calls, email chains, and site walk-arounds to clarify issues.

Rework savings (optional): if you enter a project value and an avoidable rework percentage, the tool estimates how much rework cost you could avoid by catching issues earlier with better site documentation.

Coordination time

Based on your team size, hours spent coordinating, and the loaded cost per hour. The reduction % is entirely your assumption.

Avoidable rework

Industry studies (Get It Right Initiative, UK; NIST, US) estimate rework at 5–15% of project cost. You set the percentage you believe is avoidable.

Worked example: 5-person team, 15% improvement

A 5-person team spending 8 h/week on coordination at €30/h over 26 weeks costs €31,200 in coordination. At 15% reduction, that's €4,680 saved. If the project is worth €1,200,000 with 5% avoidable rework, that's €60,000 of rework → 15% reduction saves another €9,000. Total estimated savings: €13,680.

Frequently asked questions

Where do the rework percentages come from?

You set them. Industry studies suggest 5–15% of project cost goes to rework (Get It Right Initiative, NIST), but you choose what's realistic for your project. This calculator doesn't hide assumptions — every input is yours to edit.

Does this include the cost of the tool?

No. PinMy pricing is not baked in. Compare the estimated savings against the cost of whatever tool you're evaluating to judge its payback.

Is 15% reduction realistic?

It's a conservative starting point. Teams that digitise site capture often see larger time savings from fewer clarification calls, less travel to site just to check something, and faster handovers. Start at 15% and adjust based on your current coordination pain points.

What counts as coordination time?

Time spent on status calls, email threads, WhatsApp groups, site walks just to verify progress or clarify issues, compiling reports from scattered notes, and chasing people for information. If you could resolve it with a pinned photo or voice note, it counts.

Why is PinMy giving away a free calculator?

Because the first step to fixing coordination waste is measuring it. We want site teams to understand their own numbers before they think about tools. If the estimate shows potential, PinMy is here — if not, you've lost nothing.

From estimate → action

The calculator shows the potential. The next step is capturing site reality in a way that actually reduces those coordination hours — pinning photos, voice notes, and videos to the exact spot on a plan, photo, or 3D model. No more 'which column was that?' in the group chat.
